FAQ

Questions people ask us

If yours is not here, email hello@orvantahq.com and we will answer it — and probably add it to this page.

What does Orvanta QBD actually do?

It lets an AI assistant such as Claude read your QuickBooks Desktop company file and answer questions about it — in plain English, from live data. Instead of exporting reports and pasting them into a chat, you ask the question and the assistant looks it up for you.

Does my financial data leave my network?

No. Orvanta QBD is software you install and run on your own machines. There is no Orvanta service in the path and no copy of your company file anywhere else — we never see your data. What your AI provider does with the answers you receive is governed by your agreement with them.

Can the AI change my books?

Not unless you enable it. Orvanta QBD is read-only when installed, and the write features are simply not available to the assistant in that mode. If you do turn write access on, the assistant shows you the intended change and waits for your confirmation before anything is committed — and it is all recorded in the audit log.

Which versions of QuickBooks Desktop are supported?

Pro, Premier and Enterprise, current and older years. Orvanta QBD adapts to what your company file supports, so an older version simply offers a smaller set of fields. A few areas — sales orders and inventory assemblies, for instance — exist only in Premier and Enterprise because that is how QuickBooks works.

Does it work with QuickBooks Online?

No. QuickBooks Online is a separate product with its own API. Orvanta QBD is built for QuickBooks Desktop.

Does QuickBooks need to be running?

Orvanta QBD connects to your company file the same way any QuickBooks add-on does. The most reliable setup is QuickBooks running in multi-user mode on the host machine with the company file open. The admin app tells you at a glance whether the connection is healthy.

We have several company files. Does that work?

Yes — you install one Orvanta QBD instance per company file, each with its own access settings and its own audit log. Multi-entity setups are covered by the Enterprise plan.

What gets recorded in the audit log?

Who made a request, when, what they asked for, whether it succeeded and how long it took — kept on your own machine in an append-only record. The financial figures themselves are never written into the log, and you control how long entries are retained.

Do I need an IT person to set it up?

For a single machine, no — the installer and admin app handle it, and setup usually takes a few minutes. If you are connecting from another computer or another office, your IT contact will want to review the network settings, and we are happy to walk them through it.

How is it licensed?

Per company file. The read-only tier is free so you can try it against your real books; write access and support are paid. See the pricing page, or contact us for multi-entity arrangements.
